Department Head of Circulation/Interlibrary Loan

Ela Area Public Library District

The Ela Area Public Library District, located in the Northwest suburbs of Chicago in the community of Lake Zurich, seeks a collaborative, progressive team leader to join the organization as the Department Head of Circulation/Interlibrary Loan. The Circulation Department, staffed by a dedicated team of individuals, oversees the circulation of over 900,000 items annually. The Library utilizes an RFID/sorter system for materials and is a fine free library. (Posted 10/25/18).

Position Summary:
The Head of Circulation/ILL reports to the Assistant Director and participates in the strategic planning process as a collaborative member of the management team. Additionally, this position manages a work group of 17 direct and 5 indirect staff members.

Significant duties include:

  • Management of department personnel including scheduling
  • Overseeing all aspects of Circulation services including patron services, ILL, drive-up window, and sorter system
  • Carrying out circulation, privacy, and interlibrary loan policies
  • Performing regular Desk duties
  • Compiling monthly & annual statistical reporting

Requirements: Bachelor’s degree or related work experience; Five years of professional public library experience; Demonstrated abilities in management, supervision, and service to the public; Commitment to superior customer service and communication; Spanish, Polish, or Chinese language skills a plus

Starting Salary:  $50,000 annually with full benefits, including four weeks of vacation and participation in IMRF. Night and weekend availability.

Part-Time Security Monitor

Ela Area Public Library District

The Ela Area Public Library is seeking an energetic individual to serve as a part-time Security Monitor. This position is responsible for helping to maintain a welcoming atmosphere for all library visitors. The ability to work as part of a team with a positive attitude even when dealing with problems is highly desired. (Updated 10/15/18).

Primary Responsibilities Include:

  • Makes routine inspections of the interior building and exterior grounds to maintain the safety and security of all library patrons, property, and staff.
  • Continually observes activity in the library and on library property to maintain an appropriate environment consistent with the library’s policies. Completes Incident Reports as needed.
  • Follows established procedures and assists with vacating, closing, and securing the building.

Ability to:

  • Provide excellent customer service and hospitality
  • Communicate positively, clearly & effectively with all age groups
  • Work independently
  • Anticipate potential disruptive behavior and take preventative action
  • Maintain composure under stress
  • Interpret Library policies & procedures to the public
  • Stand for long periods of time

Requirements:

  • High school diploma or equivalent
  • At least two years working with the public where problem solving was required
  • Basic computer skills
  • Previous experience working in a library environment preferred
  • Spanish, Polish, or Chinese language skills a plus

Position Hours: About 11 hours per week. Wednesday 3:00pm-9:00pm, alternating weekends Saturday: 11:00am-5:00pm and Sunday 12:00pm-5:00pm. Ability to stay beyond closing hours if necessary.

Salary: $14.19 per hour, depending on qualifications

Information Desk Assistant

The Ela Area Public Library is seeking a friendly, energetic, and self-motivated applicant with exceptional customer service skills. Our library strives to be a welcoming center for our community and this position is responsible for creating a positive library experience at an extremely busy information desk. Responsibilities include general reference, passport services, reader’s advisory, and technology assistance. This is an 8-15 hour per week position with a work schedule that requires daytime, evening, and weekend hours. (Posted 9/24/18)

Responsibilities:

  • Provides general reference and reader’s advisory service.
  • Greets and assists patrons, provides informational and directional assistance in person and via phone.
  • Processes passport applications as a certified Passport Agent.
  • Assists patrons with retrieving equipment from the Forge.
  • Takes program sign-ups, accepting payment where required, giving receipts and handling cancellations.
  • Takes applications and accepts payments for the meeting room.
  • Assists patrons with the use of the copier/scanner and performs troubleshooting.
  • Takes voter registrations, if eligible.
  • Attends staff meetings, staff training days, and department meetings.
  • Answers questions about using technology including library apps, mobile devices, the internet, and word processing.
  • Fills in for absent coworkers.

Requirements: 2 years of college, one year of work experience with public interaction and customer service experience required. Library experience preferred. Spanish, Polish, or Chinese language skills a plus.

Knowledge and Skills:

  • Interact with patrons courteously, skillfully and accurately.
  • Work effectively with co-workers in a collaborative, team-based organization.

  • Read small print; push and pull a cart loaded with materials; bend, lift, and reach.

Position Hours: 8-15 hours per week, flexible availability needed. Schedule includes daytime, evening, and weekend shifts. Schedule subject to change from week to week.

Pay: $16.44/hr

Bilingual Information Desk and Passport Assistant

The Ela Area Public Library is seeking a friendly, energetic, and self-motivated bilingual applicant with exceptional customer service skills and proficiency in speaking both Spanish and English. Our Library strives to be a welcoming center for our community and this position is responsible for creating a positive library experience at an extremely busy Information Desk. Responsibilities include general reference, passport services, reader’s advisory, and technology assistance. This is an 8-15 hour per week position with a work schedule that requires evening and Saturday hours, with occasional daytime hours. (Posted 8/27/18)

Information Desk Assistant Responsibilities

  • Answer general inquiries and provide reader’s advisory service in Spanish and English.
  • Greet and assist patrons, provide informational and directional assistance in person and via phone.
  • Translate Library information in print and digital media.
  • Cross-train in other departments to provide translation assistance.
  • Assist patrons with retrieving equipment from the Forge.
  • Take program sign-ups and accept payments for the meeting room.
  • Assist patrons with the use of the copier/scanner and perform troubleshooting.
  • Take voter registrations, if eligible.
  • Answer questions about using technology including library apps, mobile devices, the internet, and word processing.

Passport Agent Responsibilities

  • Meet State Department Requirements for certified Passport Agents: Must be 18 years of age or older. Not presently under probation, parole, indictment or convicted of any Federal, State, Local felony or misdemeanor conviction including moral turpitude or breach of trust, (embezzlement, fraud, drug offense or dishonesty involving public trust). Passport Application Acceptance Agents must be a United States citizen or U.S. National and approved by the Department of State.
  • Must pass Passport Application Acceptance Agent training upon hire. Training will be provided online. Recertification is done annually.
  • Process passport applications as a certified Passport Agent.
  • Assist patrons with passport questions in person and on the phone.
  • Add patrons to the waiting list for passport processing.
  • Greet and assist patrons by providing information, directional assistance, and referrals to appropriate staff.

Requirements: 2 years of college preferred, one year of work experience with public interaction and customer service experience required. Library experience a plus. Bilingual in Spanish and English. Must be 18 years or older to meet State Department requirements.

Knowledge and Skills

Ability to:

  • Deal with multiple tasks effectively and efficiently
  • Interact with patrons courteously, skillfully and accurately
  • Work effectively with co-workers in a collaborative, team-based organization
  • Learn use of telephone system and maintain standards of phone service

  • Bend, lift, and carry objects up to 40 pounds
